Exhibit-floor booths and meeting-level rooms. Load-in follows the venue's dock schedule, so we plan around your move-in window rather than yours around ours.

Ballrooms, pre-function space and breakout rooms. Usually the easiest setup, and the one where a studio tucked beside registration performs best.
Purpose-built conference centers
Midtown and downtown venues with dedicated meeting floors, where a studio can live in a side room for the full run of the event.
Downtown & Chelsea event spaces
Lofts, galleries and piers, where existing light varies wildly and a controlled studio corner matters more, not less.

What we need from the venue
A 10 × 10 footprint and access to power. That’s the floor. More space means a longer lens and a cleaner background falloff, and a spot near registration or the main traffic aisle will roughly double how many people come through — but a 10 × 10 in a corner works, and we’ve built good studios in worse.

Backdrop, lighting and tethered preview station built and tested before doors. We work to your venue's dock and move-in schedule.

Open, walk-up
Continuous shooting at roughly 20–30 people per hour, per photographer. A 400-person conference over two days is usually one photographer; a single-morning push means two stations.
2–3 min
Per person, at the station
A brief posture and expression cue, six to eight frames, then previews. They pick their favorite before they step away.
3–5 days
Retouched delivery
Final images arrive by online gallery. Rush delivery available if you need them for a post-event recap while attention is still on the event.

Including setup, one photographer, lighting, a standard backdrop, live previews and retouched digital delivery. Full days, additional photographers, custom-printed backdrops and branded social overlays are quoted on top.

How much space does a headshot studio need at a conference?
A 10 × 10 footprint with access to power. We'll adapt to a convention center booth, a hotel ballroom or a corporate office — and if the space is tighter than that, send us the floor plan and we'll tell you honestly whether it will work.
How many people can you photograph per hour?
Around 20–30 per hour per photographer, on a walk-up basis with live previews. We'll recommend one or two stations once we know your headcount and how many hours the studio is open.
How quickly do attendees get their headshots?
They see and choose their frames on the spot. Final retouched images arrive digitally within three to five business days, delivered by online gallery. Rush delivery is available if you need images for a post-event recap.
Can the studio be branded for our company or conference?
Yes. Custom backdrops in your colors, branded overlays for social sharing, and an event-specific hashtag built into the delivery. If you want printed signage at the station, we'll need artwork about two weeks out.
What does a conference headshot studio cost?
Half days start at $2,999. The final number depends on hours, headcount, how many photographers you need and whether you want custom-printed branding. Send us the venue and the dates for a fixed quote.
Do you only work in New York City?
New York is our home market and where most of our conference work happens. We travel nationally for multi-city programs — that's run through our national headshot program rather than this studio.
How far in advance should we book?
For the New York conference season, six to eight weeks is comfortable. We've turned around events in under two weeks, but backdrop printing and a second photographer both get harder at short notice.
